Non-Consultancy Services Tender for “Logistical and Technical Services for the 1st International ICT Conference and Exhibition, Kabul Afghanistan”.
- Background:
MCIT (Ministry of Communications and IT) has initiated a project to organize the “1st International ICT Conference and Exhibition Afghanistan on 7, 8, 9 July 2013. The funds for Logistical and Technical Services are provided by MCIT core funds. The aim of the event is to create an annual meeting place for the international, regional and national ICT industry to discuss the key issues in the development of Afghanistan’s ICT sectors, facilitate regional and global dialogue, exchange ideas and experience, and most importantly to identify the direction for future cooperation and investment opportunities in the development of Afghanistan.
- Scope of work: The conference of “Logistical and Technical Services for the 1st International ICT Conference and Exhibition, Kabul Afghanistan” is designed to bring together about 2000 Information and Communication Technology (ICT) professional and other related key players in Afghanistan and Delegates from 20 countries to share ideas for promotion and implementation of ICT Agenda in Afghanistan as well region. The Conference will mainly focus on
- ICT Development in Afghanistan over the last decade
- Regional Collaboration
- Sharing Global and regional experiences
- Sharing Future Vision for ICT in Afghanistan and in the region
The conference and exhibition will be for three days, running from 9:00 AM in the morning till 4:30 PM in the evening. The contractor will do the organization of the event and all the related funds are provided by MCIT. Thus, all the interested organizations are advised to quote as under:
The conference will be hosted in the Loya Jirga Hall, where 2000 participants will be invited to meet and discuss the conference themes. These participants will represent Government, Private and Public sector.
As the event will last for 3 days the following items are required for the organization of the event.
- Manage the event organisation and logistics
- Recognise MCIT as the official supporter of the event
- Attract commercial companies to take part in the Conference
- Invite, in conjunction with MCIT, foreign ministries, national companies and leading international associations to take part
- Provide delegate bags for each participant
- Create an official e-catalogue, to include information on participating companies and speakers. Provide a catalogue to each registered Conference delegate.
- Promote the Conference through its international partners and agents, international press and through other ICT events throughout the world
- Appoint an official travel agent to assist all participants with hotel, visa and plane tickets for the Conference.
- Install exhibition booths for 250 companies with reliable electricity source, one table and one chair
- Manage booths registration and management
- Cover all direct Conference costs including:
- Venue
- Catering including coffee breaks, lunches and a gala diner
- Decoration of the Conference room with banners, posters and flowers
- Audio visual equipment and translation
- Sales and marketing Lanyards, badges, delegate bag, catalogue and notebook & pen
C.Duration: The conference will start on 7th July and will last for 3 days ending on 9th July 2013
Submission of Bids:
The Firms desirous of bidding for the projects shall meet the following pre-qualifications. The documentation shall include:
- The Bidder shall, with his quote, provide adequate documentation of experience in providing similar services. This documentation shall include a reference list of similar programs delivered and operating satisfactorily in a similar environment during the last 5 years. The list should include name and location of project, name of owner and purchaser if different, reference person which may be contacted, delivery date, type of equipment, technical data etc. The bidder has to be a profit making organization for the past 3 financial years i.e. 2009-2010, 2010-2011 & 2011-2012.
- The Bidder having operational office/s in Kabul, Afghanistan is highly recommended.
- Documents on company profile and reference
- Bid Security shall be USD 1500.00 or Equivalent Afghani
- All other documents, the bidders consider as helpful for the evaluation of their bids.
